ZZ. SCHEDULING

1. The Associate Director, Recreation Services & Athletics, has responsibility for coordinating schedules and handling game contracts for all sports except football which is handled by the Director of Athletics. The Associate Director is also designated as UD's Scheduling Officer for the Colonial Athletic Association.

2. All competitive events must have a signed contract on file in the Office of the Associate Director in advance. The Associate Director will designate events for which a letter of invitation, etc. will suffice instead of a formal contract. No event may occur without the requisite contract or acceptable alternative.

3. To ensure compliance with NCAA required maximum and minimum contest/date regulations, the following procedure will apply:

The Scheduling Officer will generate a composite schedule for each athletics team when the schedule is complete. The Scheduling Office will count the number of contests/dates (per the NCAA method of counting for each sport), indicate that number on the schedule and initial. The schedule will then be forwarded to the Compliance Office for the same verification. The schedule will be returned to the Scheduling Officer who will file this verified number of contests/dates in the contract file for the appropriate sport. This will remain in the files of the Scheduling Officer for three years and will then be archived with the University for an additional seven years.

If any schedule additions or deletions are made once the verification has occurred, the Scheduling Officer will reroute the initialed schedule with the corrections. In no case will NCAA limits be exceeded.

4. Coaches may not make definite scheduling commitments with other institutions, especially during the non-championship season, until approved by the Associate Director after checking with the Master Calendar.

5. Scheduling of contests will reflect consideration for missing a minimum of class time.

6. Master schedules are kept in the Office of the Associate Director, Recreation Services & Athletics.

7. Contest cancellations and rescheduling must be coordinated with the Associate Director, who will communicate as needed with other areas. Once contracts are signed by both institutions, the respective administrators will handle any cancellations and/or date/time changes. In all cases, the integrity of the signed contract will be upheld by either refusing to cancel or accomodation made in the following year's schedule.

8. Split team scheduling is not permitted on dates on which home meets in that sport are being hosted. (i. e. , team members may not participate in an away meet at the same time we are hosting a home meet. )

9. Regular season competitions are not to be scheduled during exam periods. Exceptions must be approved by the Director of Athletics and the President. (Approved by AGB Executive Committee, 12/17/2002)
